From Paper to Data-Driven: Hydrovod Digitalized Field Operations with TagPlan

Jure Špeh, Co-founder and CTO

TagPlan digital transformation at Hydrovod

Hydrovod replaced paper-based field worker rounds and meter readings with TagPlan, gaining real-time process oversight, eliminating lost data, and enabling data-driven decision-making. With NFC validation, periodic work orders, and flexible configuration, the team now exports weekly data and actively discusses improvements — a cultural shift from paper records that disappeared into filing cabinets.

Company

Industry: Public Utility (Water Supply)
Use Case: Field worker rounds, pumped water meter readings, SPV meter readings

Challenges Before TagPlan

Hydrovod managed field operations using paper-based processes that created significant operational blind spots:

  • Lost data — paper records disappeared, making it impossible to track historical trends or verify completed work.
  • No process oversight — management had limited visibility into what was happening in the field.
  • Time-consuming data processing — transferring paper records into usable formats consumed valuable hours.
  • No systematic monitoring — without digital records, identifying patterns or recurring issues was impractical.

Coming from a manufacturing background where every process is tracked and monitored, the lack of digital oversight in water supply operations was immediately apparent.

I searched extensively for a monitoring app. In manufacturing, every process is tracked — I expected the same for water supply. TagPlan was, at least for our needs, by far the most useful solution I found.

Why TagPlan

The decision to adopt TagPlan was driven by a need for:

  • Process oversight — real-time visibility into field operations.
  • Data preservation — eliminating lost paper records with a reliable digital archive.
  • Time savings — reducing hours spent processing and transcribing field data.
  • Flexible configuration — adapting the system to Hydrovod’s specific workflows and requirements.

Deciding Factor

After evaluating multiple solutions, TagPlan offered the right combination of flexibility and field-ready functionality for Hydrovod’s needs.

TagPlan Implementation

Adoption

Field workers adapted to the system within approximately one month, with ongoing optimization as the team discovers new ways to leverage the platform. End users have been constructively suggesting small improvements — such as adding location names to meter identifiers — which are quick to implement but make a meaningful difference in daily fieldwork.

Digitalized Processes

  • Field worker rounds — systematic inspections with digital checklists.
  • Pumped water meter readings — structured recording and tracking.
  • SPV meter readings — consistent, verifiable data capture.

NFC Validation

  • NFC tags installed inside facilities and electrical cabinets.
  • Used for simplified recording at each location.
  • No scanning issues reported — reliable validation in all conditions.

Results

Operational Efficiency

  • Eliminated data loss — all field records are now digitally archived and instantly accessible.
  • Reduced data processing time — automatic digital capture replaces manual transcription.
  • Improved process oversight — management can monitor field activities in real time.

Most Valued Features

  • Periodic work orders — automated scheduling of recurring field tasks.
  • Location mapping — clear visual overview of all monitored sites.
  • Flexible configuration — ability to adapt the system as needs evolve.

NFC Usage

  • Tags placed inside facilities and electrical cabinets for practical access.
  • Simplified the recording process for field workers.
  • No scanning issues encountered.

Workforce Adoption

  • Employees received the system positively.
  • Weekly data exports are now standard practice.
  • The team has begun actively discussing operational changes based on collected data — a significant cultural shift from paper records that were filed away and forgotten.

The team is already discussing changes based on the data we collect. Before TagPlan, that information was on paper — if it existed at all.

Future Expansion

Hydrovod plans to extend TagPlan to additional operational areas:

  • Hydrant inspections
  • Water cell washing
  • Pipe section flushing
  • Pressure reducing valve inspections

Client Statement

TagPlan gave us the oversight we were missing. Field worker rounds, meter readings — everything is now tracked and accessible. The team adapted quickly, and we’re already making decisions based on real data rather than incomplete paper records.
